A QuickBooks receipt scanner.
And everything after the scan.

Photograph a receipt, forward a supplier bill, drop in a statement. Dext reads it at over 99% accuracy, codes it against the chart of accounts already in your QuickBooks file, and sends it through ready to reconcile.

Every format in.
One clean record out.

A crumpled receipt, a PDF invoice, a bank statement, an e-commerce export. They arrive in Dext looking like whatever they are, and leave as structured data your QuickBooks file can take.

1. Send the document in

Photograph documents in the app, forward them by email or WhatsApp, or let auto-invoice collect them from suppliers on your behalf. Itemised transactions come in too, from retailers, marketplaces, payment providers and point-of-sale systems.

2. Dext extracts it

Dext extracts the detail at over 99% accuracy and codes it the way you coded that supplier last time. Where it is not confident, it flags the item for you rather than guessing.

3. Publish to QuickBooks

One click sends the item to QuickBooks with its account, tax rate and tracking category already set. The document stays stored and searchable in Dext for seven years, so the receipt is still there the day someone asks for it.

Capture it however it arrives. It reaches QuickBooks sorted.

Photograph a receipt in the app, forward a bill from your inbox, or drag a batch across from your desktop. Dext pulls out the supplier, date, totals and line items at over 99% accuracy, applies the tax rate and category your QuickBooks file already uses, and holds the item in your Costs or Sales workspace until you publish it.

Fix it in Dext. Not in your QuickBooks file.

Duplicates, missing supplier details and coding that looks out of place are flagged before anything is published, so the correction happens once instead of becoming a posted transaction you have to unpick later. Set a rule for a supplier — this account, this tax rate, this tracking category — and everything that arrives from them afterwards follows it.

Sync it once. It stays in step.

Your chart of accounts, suppliers, customers, tracking categories and payment methods come across from QuickBooks, so the options you code against in Dext are the ones your accountant already recognises. Run more than one QuickBooks company and you can move between them without starting again.

How to connect Dext and QuickBooks

The connection takes a couple of minutes. Your chart of accounts, suppliers, customers, tracking categories and payment methods sync across, so from the first document you publish, the coding matches what is already in QuickBooks.

1. Synchronise your chart of accounts

Navigate to the ‘Connections’ section of the sidebar, then click on ‘Integrations’. Find QuickBooks in the list of available softwares, then click the ‘Connect' button.

2. Upload items to Dext

Add your documents through one of our many submission methods. Take a photo on our mobile app. Upload it directly from your computer. Or email it in. Other options are also available.

3. Dext reads the document

Extraction starts the moment a document lands. When it finishes, the item is waiting in the inbox of your ‘Costs’ or ‘Sales’ workspace, or under ‘Processed Statements’ in the bank workspace.

4. Review and edit

Double check to make sure all the information you need is there. You can edit and add as you see fit.

5. Publish to QuickBooks

When an item has all the correct settings and is ready to go, click the green ‘Publish’ button to send the item to QuickBooks.

FAQs

Connecting the two syncs your chart of accounts, suppliers, customers, tracking categories and payment methods from QuickBooks into Dext. Documents you capture are coded against those, checked by you, then sent across with the Publish button — so what arrives in QuickBooks already matches how your books are set up.

Dext uses AI to extract data from your financial documents and match it to the correct QuickBooks accounts. After verification, the information is published to QuickBooks, reducing manual entry.

Dext applies the tax rates and categories from QuickBooks. You can also set up rules in Dext to automate these settings, streamlining your workflow.

Most tools stop once they have read the document. Dext also lets you set the rules that decide where it goes — categorisation, tax treatment, multi-currency — and flags anything that looks wrong before it reaches QuickBooks, so the correction happens in Dext rather than in your ledger. It connects to 36+ accounting platforms and a wide range of other data sources, which helps if your requirements are more involved than one company and one currency.

Dext allows you to create rules for automatic transaction matching, tax application, and multi-currency management. You can also automate workflows, like recurring expense categorisation and approval processes.

Yes, Dext lets you connect and manage multiple QuickBooks accounts, making it easy to switch between them and publish data accurately.

Yes, Dext supports bulk uploads, allowing you to process multiple documents at once and prepare them for publishing to QuickBooks.

Dext flags it and tells you which document it is. You correct the detail in Dext and publish again — nothing incomplete goes to QuickBooks in the meantime.

Dext works for businesses from micro to multi-entity, in any industry, and for the accountants and bookkeepers alongside them. If you are on QuickBooks and someone is still handling receipts and supplier bills by hand, the 14 days will tell you quickly.
